Flight Monitoring and Multiple Arrivals
Red Mile Limousine Services monitors the flight information attached to the reservation. Monitoring helps us respond when a listed flight arrives earlier or later than scheduled.
If the airline changes a flight number, cancels a flight or moves passengers to another service, the booking contact or group leader should notify us as soon as possible.
Groups do not always arrive together. Some passengers may arrive on different airlines, from different cities or several hours apart.
For multiple arrivals, provide a passenger manifest showing each traveller or subgroup, flight number, arrival time, mobile contact and luggage requirements. This allows us to review whether the group should use separate airport pickups, a timed waiting plan or a combination of vehicles.
Passengers should not be assigned to the same vehicle departure from YYC solely because their scheduled arrival times are similar. Customs processing, baggage delivery and flight delays can create significant differences in when each passenger is ready to leave the terminal.
Flight monitoring does not remove delays caused by weather, airline decisions, airport operations, customs, baggage delivery or circumstances outside our control.
Inside-Terminal Group Meet-and-Greet at YYC
Inside-terminal meet-and-greet service must be requested and confirmed in advance.
For international flights, the chauffeur or designated Red Mile Limousine Services representative meets the group in the International Arrivals Hall after passengers exit customs.
For domestic flights, the meeting point is near the security exit gates in the Domestic Arrivals area.
A printed group, company or passenger name sign can be displayed when requested. For larger groups, identify one group leader who can confirm when all expected passengers are present and ready to proceed to the vehicles.
Sixty Minutes of Included Airport Waiting Time
Calgary Airport pickups using business SUVs, passenger vans and Mercedes-Benz Sprinter vans include 60 minutes of waiting time for domestic and international arrivals, beginning when the flight arrives at the gate.
Additional waiting is charged in 15-minute increments. Each increment equals one quarter of the applicable vehicle’s hourly rate.
The booking contact or group leader should communicate unexpected delays involving customs, baggage, misplaced luggage or difficulty assembling the group whenever possible.
Bus and motor-coach reservations may require separate staging, access and waiting arrangements. The applicable terms will be confirmed with the quotation.
Selecting Vehicles for a YYC Group Transfer
Depending on the passenger count, luggage requirements and itinerary, service may use business SUVs, passenger vans, Mercedes-Benz Sprinter vans, 24-passenger buses, motor coaches or multiple vehicles. Twenty-four-passenger buses and motor coaches are available subject to availability.

One Vehicle, Multiple Vehicles and Luggage Capacity
A single larger vehicle may be practical when passengers arrive together, have similar luggage requirements and are travelling to the same destination.
Multiple vehicles may be more suitable when passengers have different schedules, arrive on separate flights, are travelling to several destinations or carry more luggage than one vehicle can safely accommodate.
A split-vehicle plan can also allow part of the group to leave YYC while other passengers wait for a delayed flight.
Published seating capacity does not automatically represent luggage capacity. A movement of fifteen travellers with roughly thirty suitcases between them may require a larger vehicle, multiple vehicles or a separate luggage solution.

Child Seats for Group Travellers
Infant, toddler and booster seats are available at no additional charge when requested in advance.
Provide each child’s age and requested seat type. Child seats remain subject to availability and compatibility with the selected vehicle.
Certain buses and motor coaches may not support the same child-restraint installation methods as sedans, SUVs and passenger vans. Compatibility must be reviewed before the vehicle is confirmed.
The accompanying adult remains responsible for confirming that the requested restraint is appropriate and for securing the child correctly.
Accessible Group Transportation and Service Animals
Tell us about mobility devices, boarding assistance or other accessibility requirements before booking.
Include the type and dimensions of any wheelchair, scooter or mobility equipment travelling with the group. If a service animal will travel with the passenger, include this information so passenger space, luggage capacity and vehicle requirements can be reviewed.

Winter Group Transportation in Calgary
Snow, ice, reduced visibility and winter traffic can affect travel times between Calgary International Airport and destinations throughout the city.
Allow additional time for winter departures, especially when the itinerary includes several hotels or passenger pickups. Severe weather may also affect vehicle staging, loading and airport access.

Group reservations using business SUVs, passenger vans or Mercedes-Benz Sprinter vans may be cancelled without charge when at least 24 hours’ notice is provided, unless different terms are stated in the written quotation or booking confirmation.
Twenty-four-passenger buses, motor coaches, multi-vehicle movements and transportation requiring special arrangements may have longer cancellation periods. The applicable deadline and any cancellation charges will be provided with the quotation before the reservation is confirmed.
Schedule, passenger-count, flight, stop and vehicle changes should be requested as early as possible. Changes remain subject to availability, operational feasibility and any applicable price adjustment.
If an airline cancels or changes a flight, the booking contact should notify Red Mile Limousine Services as soon as possible. Airline disruption does not automatically override the cancellation terms confirmed for buses, motor coaches, reserved vehicles or services already arranged.
Group Transportation Payment Terms
The confirmed quotation will state the total price, payment schedule, accepted payment method and applicable billing terms before the reservation is finalized.
Payment timing may vary according to the vehicle type, number of vehicles, itinerary and special service requirements. Any payment or authorization required before service will be disclosed in the written quotation.
Approved corporate accounts may request invoicing, purchase-order details, department codes or billing references. Corporate invoicing must be arranged and approved before service.
Additional waiting, added stops, itinerary changes, vehicle upgrades or other services requested after confirmation may change the final amount. Any applicable charges will be explained and added to the reservation.
