Banff Conference Transportation & Delegate Shuttles
Red Mile Limousine Services provides private Banff conference shuttle services for delegates travelling between hotels, meeting venues and scheduled events.
When delegates stay at several Banff hotels, scheduled vehicles can collect groups from agreed pickup points and transport them to the main conference venue.
Depending on passenger numbers, this may involve staggered departures, multiple vehicles or shuttle rotations. The organizer receives an agreed transportation schedule with pickup locations and departure times.
Calgary Airport
Executive Airport Transfers from Calgary International Airport
Red Mile Limousine Services provides private transportation between Calgary International Airport (YYC) and Banff for executives, board members, visiting speakers and conference delegates.
Guests arriving on different flights can be accommodated through individual transfers or coordinated group pickups. For confirmed airport services, flight information is monitored to support pickup arrangements.

For larger events, Banff conference bus transportation can be arranged using 24-passenger buses or full-size motor coaches, depending on group size, luggage and availability.
Twenty-four-passenger buses and motor coaches are subject to availability and are not confirmed until the reservation is accepted. Actual passenger and luggage capacity is confirmed during the quotation process.

A Week-Long Executive Retreat in Banff
Red Mile Limousine Services provided transportation for a week-long executive and board-member retreat in Banff, including YYC airport transfers, local transportation, group activities and scheduled dinners.

Before the retreat
Planning for flexible departures
During planning, we recommended five SUVs and three passenger vans because guests were unlikely to travel together throughout the retreat.
Rather than arranging every movement around all 40 attendees, the transportation plan allowed smaller groups to depart at different times, with capacity planned around approximately half the group travelling at once where appropriate.
The arrangement worked well. Guests who were ready to leave could travel without waiting for others to finish their activities.

During the retreat
Adapting when mountain weather changed the plans
The group had planned a visit to Banff Sunshine Village for a gondola ride, lunch and hiking. Poor mountain visibility led the organizer to change the itinerary to Johnston Canyon.
Red Mile Limousine Services adjusted the transportation arrangements, took the group to Johnston Canyon and returned them to their Banff accommodation. Scheduled downtown Banff dinner transportation continued that evening and again the following evening.

End of the retreat
Coordinating different airport departure requirements
Toward the end of the retreat, some guests preferred to leave Banff a day earlier to avoid a very early morning departure for their flights.
At the organizer’s request, Red Mile Limousine Services arranged transportation to a Marriott hotel at Calgary International Airport, allowing those guests to stay closer to the terminal overnight. The remaining guests followed their original departure schedule.
The outcome
The vehicle arrangement allowed guests to depart in smaller groups without unnecessary waiting. It also gave the organizer flexibility when mountain weather changed the activity schedule and when some guests requested earlier airport transfers.
The assignment demonstrated the value of planning transportation around real guest movements rather than assuming everyone would travel together.

When delegates stay at different properties, scheduled transportation can connect their accommodation with the main conference venue.
Transportation Beyond the Conference Venue
Corporate events may include dinners, receptions, off-site meetings and group activities in Banff, Lake Louise or other Canadian Rockies destinations. Red Mile Limousine Services can incorporate these movements into the transportation schedule, including dedicated hourly chauffeur service for executives when requested.
For winter events, mountain weather and road conditions may affect travel times. We recommend allowing reasonable time for important meetings and airport departures.
